n8n vs. Zapier: how to automate your business without giving away your data (or your budget)
Paying too much for Zapier? Discover n8n: the unlimited, private, GDPR-compliant automation alternative that Oksigenia implements in your company.

Automation is no longer a competitive advantage: it has become a requirement for survival. If your employees are still manually copying and pasting data from an Excel sheet into a CRM in 2026, you are losing money.
The easy solution, the one everyone knows, is called Zapier (or its cousin Make). They are fantastic tools for getting started: you sign up, connect two wires and the magic flows. But there is a deadly trap in their design: the “pay-per-task” model and data sovereignty.
Today we look at why migrating to n8n on your own infrastructure (like the one we set up at Oksigenia) is not just a matter of saving money, but of serious enterprise architecture.
The “data toll” problem
Imagine you contract a pipe to bring water to your home, but the water company installs a meter on every tap. If you wash your hands, you pay. If you drink a glass, you pay. If there is a leak, you are ruined.
That is Zapier. They charge you for every “task” (action).
- An order comes in and you want to send an email, generate an invoice and post an alert on Slack? That's 3 tasks.
- You get 1,000 orders a month? That's 3,000 tasks.
- Your business grows by 500%? Your automation bill grows by 500%.
It is a tax on success. The better you do, the more they penalise you.
The alternative: n8n and fair-code automation
n8n is a node-based workflow automation tool. Unlike closed proprietary solutions, n8n is “fair-code” and can be self-hosted.
What does this mean in engineering terms? That instead of paying every time a process runs, you pay for the machine that runs it. And computing is cheap these days.
On a VPS managed by Oksigenia, you can run 10,000 or 10,000,000 workflows for the same fixed monthly cost. The limit is the CPU, not your credit card.
The elephant in the room: GDPR and Schrems II
This is where the legal and technical “meat” comes in.
When you use Zapier to move your European customers' data (names, emails, addresses), that data travels to servers in the United States and is processed there. Since the Court of Justice of the EU's Schrems II ruling, this is a legal minefield.
By using n8n hosted on your own infrastructure (or on ours, in Europe):
- The data leaves your website.
- It goes into your n8n (your server).
- It goes on to your CRM.
It never leaves your perimeter of control. No third parties process the information. It is the only way to guarantee strict GDPR compliance for sensitive data.

Technical power: beyond “If This Then That”
“No-code” tools tend to fall short when the logic gets complicated. n8n is “low-code”. This means it is visual for the easy parts, but lets you inject pure JavaScript for the hard ones.
Whereas on other platforms you have to pay for “Enterprise” subscriptions to use complex logic, n8n has the native Code node.
// Real example in n8n:
// Complex data manipulation before sending it to the CRM
const orders = items[0].json.orders;
const totalValue = orders.reduce((acc, order) => acc + order.price, 0);
if (totalValue > 1000) {
return { json: { status: "VIP_CLIENT", value: totalValue } };
} else {
return { json: { status: "STANDARD", value: totalValue } };
}
// Unlimited power, zero cost.
Architecture of a sovereign automation
At Oksigenia, we don't give you a user account; we hand you the keys to the factory. Our standard automation implementation includes:

- Dockerised n8n installation: Isolated and secure.
- Secure webhooks: We configure encrypted tunnels so that your applications can talk to each other without exposing unnecessary ports.
- Your own execution database: The history of what has happened (logs) is stored on your server, not in a third party's cloud. If you need to audit what happened 6 months ago, the data is yours.
“Automation should work for you, not you for the automation bill.”
Conclusion: stop renting, start building
Continuing to use pay-per-use SaaS tools for critical processes is like living in a hotel: comfortable at first, but unsustainable if you plan to stay for good.
Migrating your workflows to n8n requires an expert initial setup (that's where we come in), but the return on investment (ROI) is immediate:
- Marginal cost per automation: Zero.
- Privacy: Total.
- Flexibility: Infinite.
